Use of the National System of E-Invoices (KSeF) requires authentication of the taxpayer or their representative. The Finance Ministry proposes KSeF Certificates as a solution for this.
KSeF Certificate is an authentication tool allowing your identity to be verified with KSeF so that you can safely issue and receive electronic invoices. Since Nov 1 taxpayers have had the option of requesting KSeF Certificates via MCU but the certificates themselves will not become operational until 1 February 2026.
KSeF Certificate is a charge-free solution available to each shareholder and their authorised representatives, as such potentially creating a real alternative to commercial authentication tools.
Type 1 certificate is used only to log in to and work with KSeF, and is issuable to individuals and legal entities alike. When it is downloaded by a legal entity, KSeF will see the particulars of this entity only, rather than of any individual. Certificates issued to individual employees (based on their PESEL numbers) mean KSeF will see the particulars of the specific employee. Each KSeF certificate has a validity period.
To ensure safe certificate management, organizations need to implement comprehensive procedures, including processes for monitoring certificate validity and requesting replacements before existing certificates expire.
